We are a small natural hair care company seeking to recruit a Customer Support Specialist to enhance our customer service excellence. This role is pivotal in maintaining our reputation for delivering outstanding customer support and ensuring satisfaction with every interaction. Key Responsibilities: 

  • Customer Relationship Management: Act as the primary point of contact for our customers, ensuring all inquiries and orders are handled with the highest level of care and efficiency. 

  • Order Management: Accurately input and manage orders from major retailers such as Target, Walmart, Walgreens, T.J. Maxx, Ulta, and others. Manage all other orders OTC, e-Commerce, etc.  

  • Delivery Coordination: Oversee the timely and accurate dispatch of orders, coordinating with logistics to ensure seamless communications & delivery to retailers and direct customers. 

  • Support and Communication: Provide essential support to the customer service team, addressing any queries related to orders dispatched from our warehouse, including payment, transit, or inventory issues. 

  • Inventory Oversight: Close collaboration with the warehousing and inventory planning to ensure timely and accurate order confirmations (EDI, Manual, etc) including expected fulfillment compliance.   

  • Documentation and Record-Keeping: Generate custom documents for international orders and maintain precise records using Netsuite, including inventory adjustments, work orders, and customer information updates. 

  • System Management: Assist in managing the EDI system and the Far App connector, ensuring smooth operation and troubleshooting any issues that arise. 

  • Collaboration: Work closely with cross-functional teams to refine supply chain processes and support marketing and event coordination efforts. 

  • Professional Development: Engage in continuous learning to master our systems and processes, contributing to the team’s overall success. 

Qualifications: 

  • Customer support experience with major big box retailers 

  • Experience with EDI a plus  

  • Strong analytical skills with the ability to interpret data and make informed decisions. 

  • Excel expertise for data analysis and reporting. 

  • Familiarity with other Microsoft Office Suite applications (Word, PowerPoint, Outlook). 

  • Excellent communication and organizational skills. 

  • Detail-oriented and able to manage multiple tasks simultaneously 

  • Strong Written and Oral Communication Skills 

  • Proficiency in Netsuite a plus 

  • Extremely Organized 

Education and Experience: 

  • Minimum Education: Associate’s degree 

  • Minimum 4 - 5 years of relevant experience in operations coordination or a related field. 

Physical Requirements: 

  • Prolonged periods sitting at a desk and working on a computer. 

  • Must be able to lift up to 15 pounds at times. 

Location: Our Chicago office (in-person position). 

Our office is located in Chicago, ½ block north of the United Center just west of Fulton Market
